The Combe Grove Estate came under the guardianship of The Elmhurst Foundation Charitable Trust in March 2017 with three principal aims to practice and increase knowledge in the fields of health and wellbeing, create high-quality enhanced apprenticeships for local people and share facilities and expertise for the benefit of the local community.

Located within 70 acres of wild woodland and meadow, the Estate overlooks Bath, itself an ancient therapeutic city with healing waters at its core. The Estate team combines the latest medical research with the restorative power of nature to help those who pass through the Estate to reconnect with the primary needs of mind and body and leave with a greater sense of wellness, increased vitality and a sense of restored calm.

Combe Grove’s commitment to the environment ensures the land management team uses permaculture practices to help proliferate biodiversity in this incredibly special part of the Bath countryside. This helps to conserve its ecological health for future generations. About the role

The Finance & IT Manager will take responsibility for all aspects of the finance function, ensuring strong control systems deliver commercial, timely and accurate financial information to all users in the business enabling appropriate monitoring and control. The person in this position will have an operational focus and a take a holistic approach to business to ensure that Finance and IT solutions are relevant, controlled, managed and are cost-effective. You will support the Managing Director on a day-to-day basis and ensure a customer-focussed culture with a strong emphasis on driving sales and profitability with managed cash-flow. You will ensure that the business meets all of its legal, statutory and taxation requirements, including with the Charity Commission, and complies with requirements in all areas of company law, health and safety and human resources.

We are searching for a Qualified Accountant (ACCA/CIMA/ACA), who can fully support the beliefs and aims of Combe Grove, whose personal values resonate with the positive impact they have on both local community and environment. The holistic approach to the body is integral to the work that Combe Grove do and is a significant part of their business, so it is crucially important that as a senior manager, you have an understanding and appreciation of these principles and practices, and empathy with this approach to the body and the very holistically orientated management team.

What you’ll do and how you’ll make an impact…

Financial

Create an annual budget comprising integrated P&L, cashflow and balance sheet

Share and explain actual financial information to the management team weekly

Ensure continuous development and preparation of KPIs for each operating team and directly report back to the Managing Director and the Executive Team on results

Ensure that the purchase, sales, and nominal ledgers are closed off monthly

Ensure that all relevant balance sheet and P&L accounts are reconciled monthly

Prepare detailed monthly management accounts

Prepare weekly cash flow reports and identify potential risks

Check VAT returns on a monthly basis from Sage

Monitor all external debtors with the relevant sales team

Monitor all utility accounts, gas, electricity, water and waste, ensuring that best value is being achieved on costs, taking account of the ‘Green’ credentials of Combe Grove

Ensure that strong financial control systems are in place, continually maintain and improve

Support the management team with best value contract negotiations, as required

Maintenance and monthly updating of fixed asset register

Monitor and report on capital purchases against budget

Ensure that all items purchased, both capital and expense, are extensively negotiated to gain best possible terms, have the appropriate purchase order, and are appropriately approved prior to placing an order and making the payment

Operations

Support all areas of the organisation in planning projects

Clearly identify the return on investment of projects and service delivery.

With support from the Personnel Manager and team, sign off the payroll payment and ensure all aspects of payroll including ensuring PAYE is paid to HMRC in a timely manner and reconcile the PAYE accounts.

Oversee the pension scheme administration for the whole team

Respond to all internal and external concerns and complaints received about areas under Finance and IT control

Ensure that the team structure is reviewed at least bi-annually, to ensure that it meets the need of the Combe Grove organisation and effect required changes

Maintain central records of the organisation’s contracts and monitor renewal dates ensuring that best value is continuously achieved.

Ensure that strong operational control systems exist, and maintain and improve these continually, to protect the charities assets and to minimise the risk of abuse and fraud

Prepare periodic review of internal financial and other control systems as required by the document summarising these

IT

Take responsibility for the running of Combe Grove’s IT systems and to lead on all matters relating to IT

Develop and improve Combe Grove’s IT systems in conjunction with the external systems support company

Ensure that the external support company meets our needs, responds on a timely basis to our required support timescales and be the point of escalation for long-standing problems

Sign-off all IT equipment and software purchases

Support server and network administration.

Ensure that a register of all hardware, software licenses, network cabling and other IT systems is maintained

Ensure that the integrity and security of all internal IT systems are constantly monitored for cyber-attack

Manage risk management and testing of business continuity ensuring security of data, network access and backup systems.

Ensure that the business meets all ongoing requirements of General Data Protection Regulation

Leadership

Be a proactive member of the Executive and Management Teams contributing to team meetings, collaborative projects and supporting colleagues where necessary.

Lead on best standards and practices and actively promote the vision, business purpose, culture and values of The Elmhurst Foundation and Combe Grove

As part of the Executive Committee provide regular financial updates to the Foundation Trustees.

Provide effective finance team management and support to finance team members by carrying out a comprehensive induction, regular one to one meetings and training reviews

Ensure that all team members are clear on their responsibilities within the team and that all concerns are promptly investigated, documented and resolved

Apprentices

Liaise with the Personnel Manager and Apprentice Manager on the recruitment of Apprentices to the Finance & IT team, coach and mentor them effectively through their training to an agreed schedule of work and liaise with the training provider assessor to ensure all assessment work is completed on time.

Access to the 70 acre estate which proudly showcases our oldest woodland, Eastwood which is approximately 200 years old. A beautiful setting offering a rich diversity of plants and trees to enjoy a lunchtime walk.

Discounted therapies and treatments provided by the on-site team using pure, organic products from the South West of England with selected medicinal herbs and aromas to support the therapeutic benefit of treatments.
